ABOUT THE ROLE

This is not your average Executive Assistant role. Based at Head Office in Footscray, you’ll work one-on-one with the Managing Director to streamline operations, coordinate priorities, and help drive key business outcomes. The role will suit a high-level Executive Assistant with a passion for organisation, discretion, and keeping things running seamlessly behind the scenes.

You'll be trusted with highly confidential matters, managing communications, preparing reports, coordinating travel, and anticipating needs before they arise. 

KEY RESPONSIBILITIES

  • Provide high-level executive and administrative support to the Managing Director
  • Manage and prioritise incoming communications, including emails and phone calls
  • Coordinate complex calendars, appointments, and domestic travel logistics
  • Prepare reports, presentations, meeting agendas, and take minutes as required
  • Liaise with internal and external stakeholders with professionalism and confidentiality
  • Maintain accurate records, filing systems, and documentation
  • Use sound judgement and initiative to support strategic priorities and business goals
  • Assist in the execution of special projects and tasks as assigned
SKILLS & EXPERIENCE
  • Minimum 5 years’ experience as a Personal or Executive Assistant is essential
  • Certificate IV in Business Administration or a relevant qualification is advantageous but not necessary
  • Advanced MS Office skills and high-level computer literacy
  • Have outstanding organisational and time management skills
  • Excellent verbal and written communication abilities
  • Strong attention to detail and ability to multitask under pressure
  • Discretion, diplomacy, and the ability to handle sensitive information
  • A proactive mindset and ability to work autonomously and take initiative.
